About the Point of Sale (POS)

The Point of Sale (POS) is your clinic's digital cash register. It allows you to quickly process client purchases, apply adjustments, and finalise payments in one streamlined workflow. It acts as the final step in the client journey, turning consultations into completed sales.

The POS may also be referred to as the Register, Checkout, or Invoicing module.

What the POS covers

The POS module handles the financial conclusion of a client visit, ensuring all revenue is captured and inventory is updated.

  • Transaction Processing — Ringing up services and products for both booked and walk-in clients.
  • Flexible Payments — Accepting multiple payment methods, including Cash, Card, 2Pay, Gift Voucher, Loyalty Points, Client Account credit, and split payments.
  • Discounts and Vouchers — Applying promo codes, gift vouchers, loyalty points, and cart-level discounts. Use the POS Apply Discount button to apply a $ or % discount across eligible cart lines; the system creates a single-use discount coupon as the audit trail and lists issued discounts under Promotions → Issued Discount Coupons.
  • Receipt Management — Issuing professional digital (Email/SMS) or printed receipts.
  • Session Management — Tracking daily cash drawer activity, floats, and petty cash movements.

Why it matters

Correctly using the POS ensures that:

  • Revenue is recorded accurately — Automated pricing from your service menu reduces manual entry errors.
  • Stock is kept in sync — Every product sale automatically decrements your inventory in real-time.
  • Clinician performance is tracked — Sales are attributed to specific staff members for commission and reporting.
  • Financial integrity is maintained — Daily session balancing identifies discrepancies early and maintains a secure audit trail.

How it fits into your workflow

  • Calendar — Appointments can be pulled directly into the POS to ensure billing matches the scheduled treatments.
  • Consultations — Billing instructions from the practitioner flow into the cart for a seamless clinician-to-reception handoff.
  • Promotions — Gift vouchers and loyalty points can be redeemed as payment methods during the sale.
  • Analytics — Every finalised sale flows instantly into your clinic’s financial performance reports.
