# About Stock Functions

Stock Functions in Cosmesoft provide the essential tools for managing the movement and accuracy of your inventory. From ordering new supplies to moving stock between locations and performing formal counts, these functions ensure your business operations remain uninterrupted.

*Stock Functions may also be referred to as* ***Inventory Management*** *or* ***Procurement & Logistics*** *in some parts of the product.*

## What Stock Functions cover

The Stock Functions module handles the active lifecycle of your products:

-   **Procurement (Purchasing)** — Creating a record of orders for suppliers and confirming their delivery.  
    *Please note that the current version does not support direct communication with suppliers; however, this functionality is being explored for inclusion in future releases.*

-   **Transfers** — Creating a record of Transfer of stock between your clinic branches or from a central warehouse.

-   **Audits (Stocktake)** — Reconciling physical stock levels with the digital records in Cosmesoft.

-   **Activity Tracking** — A full audit trail of stock listings, movement, receipt, and adjustment.

Effective stock movement management ensures that:

-   **Supplies are always available** — Document when critical items have been ordered and received to prevent treatment delays.

-   **Stock is distributed efficiently** — Transfer items from overstocked sites to busier clinics without new purchases.

-   **Financials are accurate** — Ensure your business balance sheet reflects the true physical value of your inventory.

-   **Stay compliant** — Professional procurement orders, receipts, and usage records for prescription medicines ensure accurate documentation of product use, as required by health and regulatory authorities.

## How it fits into your workflow

-   **Supplier Management** — Record purchase orders and receipts of stock for specific suppliers for clear and compliant records.

-   **Warehouse Logistics** — If you use a central warehouse, transfers allow you to distribute stock to clinics as needed.

-   **Stock Levels** — Procurement orders, transfers, and audits directly update your live stock-on-hand quantities.

## The "Manage" Tab

The **Manage** tab within the Inventory module is your command centre for all stock activities. It provides a real-time list of all active and historical procurement orders, transfers, and audits. You can filter by location, type, status, or date to find exactly what you're looking for.

## Access and permissions

-   **Creating Orders/Transfers** — Usually requires **Inventory Manage** or **Admin** permissions.

-   **Receiving Stock** — Can be performed by **Managers** or **Receptionists** assigned to inventory tasks.

-   **Submitting Audits** — Typically restricted to **Managers** or **Admins** to ensure data integrity.
